What this policy covers

This policy explains how we collect, use, disclose, and protect personal data when you visit our website, contact us via forms, email, phone, or social media (LinkedIn, Facebook, Instagram), or engage us for services. By using our site and services, you agree to this policy.

Personal data we collect

We may collect contact details (name, company, job title, email, phone); business/project information (product details, technical documentation, intended use, scope); communications (emails, messages, meeting notes, proposals, contracts); billing details (invoice contact and address, VAT number, payment confirmations—no card details stored by us); website usage data (IP address, device/browser type, pages visited, referral source); and cookies/trackers data. If you contact us via LinkedIn, Facebook, or Instagram, we may receive your public profile and message content. We do not intentionally collect special category data; please avoid including it in submissions.

How we collect data

We collect data directly from you (forms, emails, calls, meetings), automatically via our website and cookies, from social platforms when you interact with our profiles, and from referrals/partners (e.g., testing laboratories) where appropriate.

Legal bases for processing

We process personal data under contract (providing quotes, delivering services, managing projects), legitimate interests (operating, securing, and improving our site/services; responding to enquiries; preventing fraud; maintaining business records; B2B marketing where permitted), legal obligations (tax, accounting, regulatory), and consent (non-essential cookies and certain marketing communications). You may withdraw consent at any time.

How we use personal data

We use data to provide and manage consulting services and deliverables; prepare proposals, quotes, and agreements; communicate about enquiries and projects; coordinate with subcontractors and accredited testing laboratories; improve website performance and user experience; maintain records, invoicing, and accounting; send relevant updates, insights, or invitations (you can opt out); and comply with legal and regulatory requirements.

Sharing your data

We may share data with subcontractors and experts under NDA/confidentiality; accredited testing laboratories (e.g., SiQ Slovenia, Applus Spain, and others as needed); service providers (hosting, email, analytics, document/project tools, invoicing/accounting); insurers and professional advisers; social platforms when you contact us there (processed under their policies); and authorities where legally required. We do not sell personal data.

International transfers

Where personal data is transferred outside the EEA/UK, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

Data security

We apply access controls and least-privilege principles, use encryption in transit and at rest where applicable, and maintain contractual confidentiality with subcontractors and laboratories. We periodically review access and retention. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Data retention

Enquiries are typically retained for 12–24 months. Client and project files are typically retained for 6–10 years, including for legal and accounting requirements. Invoices and financial records are retained as required under Maltese/EU law. We delete or anonymise data when no longer needed.

Your rights (EU/UK)

Subject to conditions and applicable law, you may have the right to access your personal data, rectify inaccuracies, request erasure, restrict processing, request data portability, and object to processing based on legitimate interests (including direct marketing). Where processing relies on consent, you may withdraw consent at any time. To exercise rights, email info@amsconsultants.net. You may also lodge a complaint with the Office of the Information and Data Protection Commissioner (IDPC) in Malta or your local supervisory authority.

Cookies and similar technologies

We use cookies to operate our site and understand performance. Essential cookies are required for core functionality and security (legal basis: legitimate interests). Analytics cookies, such as Google Analytics, help us improve our site (legal basis: consent). Typical cookies include preference/consent cookies, security/session tokens, and Google Analytics cookies (_ga, ga*, _gid, _gat). We enable IP anonymisation and keep advertising features disabled unless stated otherwise. Manage preferences via our cookie banner (Accept all, Reject non-essential, Manage preferences) or your browser settings. A “Cookie settings” link may be available in the footer to reopen the banner.

Do Not Track

Some browsers send a “Do Not Track” (DNT) signal. Our website does not currently respond to DNT signals. Please use our cookie banner and browser controls to manage tracking preferences.

Withdrawing consent

Where processing is based on consent (for example, analytics cookies or certain marketing communications), you may withdraw consent at any time by adjusting your cookie preferences via the banner or “Cookie settings” link, using the unsubscribe link in emails, or by contacting info@amsconsultants.net.

Marketing communications

We may send business-to-business updates on compliance insights, services, or events. You can unsubscribe at any time via the link in our messages or by emailing info@amsconsultants.net.

Our services are intended for businesses and professionals. We do not knowingly collect data from children under 16.

Changes to this policy

We may update this policy periodically. We will post updates on this page and revise the “Last updated” date accordingly.
